Position: Event Coordinator

Event Coordinator – 30-40 hours per week Contract/ 1099 

Pay Range: 40-50K annually

Job Summary:  

Velocity Center is an Incubator & Accelerator seeking a highly motivated Events Coordinator to join our team. The Event Coordinator will play a crucial role in assisting with the planning, coordination, and execution of various events. This position requires strong organizational skills, attention to detail, and the ability to work independently. The Event Coordinator will also represent Velocity by tabling at conventions and attending events relevant to the growth and awareness of our incubator, accelerator, and co-work space.  This is a part-time position of 35-40 hours per week, with 2-3 days in office hours that may vary based on attendance at outside events and conventions. Some evening work will be required as needed. This role is a subcontracted role and does not offer benefits.  

Responsibilities: 
  • Assist in the planning and coordination of events, ensuring that all logistics are handled effectively and efficiently. 
  • Collaborate with internal team to determine event objectives, themes, and target audiences.
  • Coordinate with vendors, suppliers, and contractors to secure necessary services and resources for events. 
  • Manage event budgets, track expenses, and negotiate contracts to ensure cost-effectiveness.
  • Develop and maintain event timelines, checklists, and schedules to ensure smooth event execution.
  • Oversee event registration processes, including ticket sales, attendee management, and on-site registration. 
  • Coordinate event marketing efforts. 
  • Represent Velocity by tabling at conventions and attending industry-specific events to promote our services and network with potential clients and partners. 
  • Conduct post-event evaluations, gather feedback, and identify areas for improvement.
  • Stay up-to-date with industry trends, best practices, and emerging technologies in event planning.

Qualifications: 
  • Experience with event management, hospitality, marketing, or a related field (preferred).
  • Proven experience in event planning and coordination, preferably in a professional or corporate environment. 
  • Excellent organizational skills and attention to detail. 
  • Strong interpersonal and communication skills. 
  • Ability to multitask and prioritize tasks effectively. 
  • Proficient in event management software and tools. 
  • Familiarity with social media platforms and digital marketing strategies. 
  • Ability to work independently and as part of a team. 
  • Flexibility to work evenings and weekends as required.
